If you have studied abroad, you need to create a student file in the Mikhak system to authenticate your educational documents and certificates. Creating a student file is necessary for students studying abroad because applying for the following requires registering a student file in the Mikhak system:

  • Facilitating the receipt of confirmation of your enrollment certificate.
  • Registering your application for passport replacement or renewal.
  • Receiving Mikhak student currency facilities.
  • If you are an eligible student, you can receive an exit stamp.
  • Registering a request to authenticate your graduation documents.
  • Exemption from paying the exit tax.

 

Required documents

  • Student visa
  • Latest educational certificate from inside the country
  • Latest educational certificate or enrollment certificate
  • Military service completion or exemption card
  • Personal photo
  • Smart national ID card (or old national ID card with the tracking code of the smart national ID card application registration)
  • First page of passport + last exit stamp in the passport

 

Important tips when using the Mikhak system

  • It is recommended to use Google Chrome to enter the system for ease of use.
  • Images of each of these items must be uploaded separately in the system.
  • You must receive a separate tracking code for each document or certificate.
  • If you need multiple copies of the confirmation of a document, uploading it once is sufficient.
  • After you receive the tracking code for your document authentication request, you can refer to the representative office with your original document for final confirmation.

 

Steps to Create a Student File in the Mikhak System

First, register in the Mikhak system, and then, depending on whether your university is approved by the Ministry of Science or the Ministry of Health, follow one of the two paths below.

 

A) For Universities Approved by the Ministry of Science

  • Make sure that the university is approved by the Ministry of Science on this website.
  • After registering in the Mikhak system, go to the “Educational Affairs” section.
  • In the representative section, select “Ministry of Foreign Affairs – Canada Headquarters” and for the request type, select “Educational Document Authentication.”
  • In the document authentication section: upload and register the enrollment certificate: the enrollment certificate must include the degree level and field of study, Full Time, in-person, and the study date for the current semester.
  • Important note: No other documents, including transcripts, national ID cards, etc., should be uploaded with the enrollment certificate. Otherwise, it will not be approved.
  • In the “Educational File Request” section, complete the details of your current degree level and register with the representative: Ministry of Foreign Affairs – Canada Headquarters.
  • The document images must be complete, straight, and of high quality (fingers should not be visible in the image). Otherwise, they will not be reviewed. First, scan the above documents in JPG and JPEG formats with a maximum size of 300 kilobytes to avoid problems when uploading them to the system.
  • Male students must upload their military service completion or educational exemption card; otherwise, the file will not be approved.
  • In the “Previous Educational Document of the Service Recipient” item, the image of the “original educational document” or “diploma” should be uploaded. The “temporary certificate” is not valid.
  • To register a student passport request: on the first page of Mikhak, in the passport affairs section: complete and register the “student exit permit” request.
  • To follow up on the approval of the educational file, contact the student affairs email of the Canada headquarters student@mfa.gov.ir or call 02161153278-80 during office hours.

 

B) For Universities Approved by the Ministry of Health

  • First, make sure that your university is approved by the Ministry of Health in the following link:

  • In the representative section, select “Ministry of Foreign Affairs – Canada Headquarters” and for the request type, select “Educational Document Authentication.”
  • In the document authentication section: upload and register the enrollment certificate: the enrollment certificate must include the degree level and field of study, Full Time, in-person, and the study date for the current semester.
  • The document images must be complete, straight, and of high quality (fingers should not be visible in the image). Otherwise, they will not be reviewed.
  • In the educational file request section: complete the details of your current degree level and register with the representative: Ministry of Foreign Affairs – Canada Headquarters.
  • On the first page of Mikhak, in the passport affairs section: complete and register the student exit permit request.
  • Register in the Movahed system belonging to the Ministry of Health (https://mohed.behdasht.gov.ir/EducationPortal). (Note: This system is not accessible from outside the country, and one of the relatives or acquaintances in Iran must register for the applicant.)
  • One of the required items for registration in the Movahed system is uploading an approved document of the enrollment certificate. Therefore, after approving the enrollment certificate document in the Mikhak system, in the “Check Document Validity” section of the Mikhak system, by entering the tracking code, take a photo of the approved certificate and upload it with other documents in the Movahed system.
  • To follow up on the approval of the educational file, contact the student affairs email of the Canada headquarters student@mfa.gov.ir or call 02161153278-80 during office hours.

 

Important points for creating a student file in the Mikhak system

  • Please note that to create and request a review of an educational and student file, your maximum age to start studying at universities abroad should be 40 years old. Otherwise, your request will not be processed.
  • If you forget your password, select the password recovery option to have the password sent to your email. If you do not have an email and entered it incorrectly, you can scan your passport and national ID card and send it to mikhak@webmail.mfa.ir to have the password sent to your new email.
  • If you have changed your country of study, be sure to change your selected representative from the information editing section so that your file is reviewed at your current place of residence.
  • The original enrollment certificates must be issued by the university in English in the current semester. This certificate must also include your year of study, field of study, and degree level.
  • If you have an educational exemption request, you must receive the relevant form from the website and send it with other documents.
  • To extend the educational exemption years, after approving your enrollment certificate, you must submit it to the Ministry of Science or Health (depending on your field of study) or the Public Conscription Organization and take the necessary actions.

 

Requesting Document Authentication Through Student File Creation

After the initial steps are completed and you receive the tracking code, you can select the “Document Authentication” option and register the document authentication request for the following items:

  • Enrollment certificate
  • Midterm transcript certificate
  • Tuition payment certificate
  • Graduation document and final transcript
  • Certificate or document of participation in a course or seminar

Do I need to have a smart national ID card to create a student file in the Mikhak system?

Yes, providing a smart national ID card is essential. However, if you do not have it, you must upload the tracking code of your smart national ID card request with your old national ID card.
